AI Intake may not be enabled in your workspace yet, and your role needs permission to create records in the area you are working in. Ask an administrator to confirm that AI Intake is available on your account and that your role includes the create permission for recipients or donors.

Fix AI Intake problems
Match the problem you are seeing below. Most AI Intake problems are fixed by retrying the step that failed. Your records are only created or changed when you or a teammate selects Save; drafts and failed pages never save anything on their own.
I don't see the photo or document option
Uploading is slow or stuck
Keep the tab open while your files upload. Reading runs in the background, but uploading does not: closing the tab can interrupt an upload in progress.
A page failed to read
Retry the failed page from the intake. Pages that already read successfully keep their drafts, and retrying a failed page does not create saved records again.
A page was skipped or marked empty
Pages with no usable information, such as a blank back side or an unrelated document, are examined and marked irrelevant or empty. They produce no draft, and the capacity reserved for them is released unused. Remove the page or replace it with the correct page.
There is no AI capacity right now
When the account has no available AI capacity, the intake shows an out-of-capacity notice instead of starting. Ask an administrator about adding available AI capacity, then retry.
Reading didn't finish
Reading can time out. Retry the pages that did not finish. Pages that already read keep their drafts.
A duplicate notice appeared
The draft matches a record that already exists, or another person read from the same intake. Duplicate checks are scoped to where you started: recipients within the same program, donors within the same donor profile form. Select Open existing to review the record that already exists, or Save as new to keep the new record.
I can't save the draft
The checklist lists required fields the document did not supply. Supply every required field from the source page before saving. Optional fields can stay blank.
The cropped portrait is not showing as the public profile photo
When extracted-photo visibility is restricted, a cropped portrait still saves to the record's Files & Photos, but it does not replace the public profile photo. Visibility and consent settings control this. See Configure AI Intake settings.
The files are not attached yet
Source documents and extracted photos attach to the record's Files & Photos in the background after you save. The attachment can be pending for a while, and it can fail. To retry, reopen your intake and use the Retry control next to Source document couldn't be attached in the intake summary.
My draft is gone
An intake expires after 14 days without activity. Start a new intake and add the document again.
I stopped or discarded an intake
Stopping or discarding an intake removes its remaining unsaved review material, and this cannot be undone. Records you already saved, and their attachments, remain. Discarding a single draft during review is different: use Undo or Restore to bring that draft back before you finish.
The draft shows fields that no longer match the form
If the program or donor form changed after the draft was started, review each field before saving and correct anything that no longer fits.
Contact support
If a problem persists after retrying, contact support. Include the program or donor form you were working in, the action you were taking, the error you saw, the time it happened, and the intake reference. Send a redacted example document only if support asks for one.
